This Privacy Policy explains how Wine Vault LLC ("Wine Vault," "we," "us," or "our") collects, uses, stores, and protects information in connection with the Wine Vault mobile application (the "App").

Business application for authorized users only

1. About this App

The App is a private, business-to-business tool used by Wine Vault LLC and its authorized personnel and partners (such as sales staff, warehouse staff, drivers, and business account holders) to manage wine inventory, purchase orders, customers, invoices, and deliveries. It is not a consumer marketplace and is not intended for the general public. Access requires an account that we provision; there is no public self-sign-up.

2. Information We Collect

We collect only the information needed to operate the App and provide our services:

Account & identity information

• Your email address, used to sign you in via a one-time passcode (OTP).
• Your name and role (e.g., sales, warehouse, driver, admin).
• The business account/company your user is linked to.

Business records you create or access

• Customer details (business name, address, phone, email, license information).
• Vendor, inventory, purchase order, and invoice records.
• Delivery and warehouse activity (orders, quantities, status).

Photos, signatures & delivery proof

• Photos you capture or select for product/inventory images.
• Delivery proof such as a recipient signature, an optional delivery photo, and optional delivery notes.

Device & technical information

• A secure authentication token stored on your device to keep you signed in.
• Basic technical data necessary to deliver requests securely (e.g., request errors and timestamps).

We do not collect your precise location, we do not use the App to serve advertising, and we do not use third-party advertising or analytics trackers.

3. Camera & Photo Library Permissions

The App requests the following device permissions, used only for the stated purposes:

• Camera — to scan product barcodes and to capture delivery or inventory photos.
• Photos / Media — to let you select an existing image for a product or delivery from your device.

The camera and photo library are accessed only when you actively choose an action that needs them. You can decline or revoke these permissions in your device settings; some features will then be unavailable.

4. How We Use Information

• To authenticate you and secure your account.
• To provide, operate, and maintain the App's features.
• To record and process inventory, orders, invoices, and deliveries.
• To enforce role-based access so users only see what their role permits.
• To send transactional emails, such as your one-time sign-in code.
• To detect, prevent, and address security issues, fraud, or technical problems.
• To comply with legal, tax, and alcohol-industry regulatory obligations.

5. How Information Is Shared

We do not sell, rent, or trade personal information. We share information only as necessary to operate the service:

• Service providers — such as our hosting provider and email delivery (SMTP) provider, who process data on our behalf under appropriate safeguards.
• Business systems — business records may be synchronized with the accounting and enterprise systems Wine Vault uses to run its operations (for example, accounting/ERP software) as part of providing the service.
• Legal & compliance — when required by law, regulation, legal process, or to protect the rights, property, or safety of Wine Vault, our users, or others.

6. Data Storage & Security

Data is transmitted over encrypted connections (HTTPS/TLS) and stored on servers operated for Wine Vault LLC. We protect access using one-time passcode authentication, securely stored session tokens, and role-based permission controls. While no method of transmission or storage is 100% secure, we take reasonable technical and organizational measures to protect your information.

7. Data Retention

We retain business and account records for as long as your account is active and as needed to provide the service and to meet our legal, tax, accounting, and regulatory obligations. When data is no longer required, we delete or anonymize it.

8. Your Rights & Account Deletion

Depending on your location, you may have the right to access, correct, or request deletion of your personal information. Because accounts are provisioned by Wine Vault for authorized business use, please contact us to exercise these rights or to request that your account and associated personal data be deactivated and deleted:

We will respond within a reasonable timeframe. Note that certain records may be retained where required for legal, tax, or regulatory compliance.

9. Children's Privacy

The App is intended solely for authorized adult business users in the wine distribution industry. It is not directed to, and may not be used by, children. We do not knowingly collect information from children under 18.

10. International Users

The App is operated from the United States. If you access the App from outside the U.S., you understand that your information will be processed in the United States, where data protection laws may differ from those in your jurisdiction.

11. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will revise the "Last updated" date above and post the new version at this URL. Continued use of the App after changes take effect constitutes acceptance of the updated policy.
